Terms and Conditions

1. Location:

Writers Workshop: Conducted at The Office Williamstown

12/16 Parker St, Williamstown VIC 3016

All other services: Conducted at Williamstown Library otherwise directed by Miss Fifi

2. Enrolments:
All enrolments and changes must be submitted in writing and approved by Miss Fifi.

3. Tuition Fees:
Payment for all classes is required in full at the time of booking. All sessions are valid for 3 months from the date of purchase.

4. Payments:
Final payment must be made 2 weeks before the start of classes.

Failure to make payment by the due date will result in a suspension of lesson fulfillment until payment is received.

5. Drop Off & Collection:
Parents or guardians are responsible for dropping off and picking up children from our locations. If another person will be collecting your child, please inform us via email or text prior to the lesson. Parents are not required to stay on-site but should return promptly for pick-up. Please let us know if your child needs additional support during this transition. We are more than happy to accommodate.

Exclusive for parents of the Writers Workshop: Whether you're dropping off your child or waiting to pick them up, feel free to enjoy our tea and coffee area in the office kitchen.

 

6. Safety Procedures:
The Tutoring Tree adheres to all required safety protocols. In the event of an accident or emergency, we may:

  • Call an ambulance
  • Seek urgent medical care
  • Transport your child to the nearest health professional

You agree to cover any associated costs for these services.

7. Communication & Feedback:
Informal progress updates can be provided during drop-off and pick-up. Formal meetings can be scheduled outside of lesson times at a mutually convenient time.

8. Assessment & Reporting:
Ongoing informal assessments will guide the planning of your child’s program. Goals will be reviewed every 10 weeks, and regular observations will be recorded in your child’s Portfolio.

9. Toileting:
Toilets are available on-site, and children will be escorted by a teacher. Due to privacy considerations, no assistance with toileting will be provided.

10. Teacher Absence:
In the event of teacher illness or absence, we will notify you and arrange a make-up lesson at a suitable time.

11. Photo/Video Consent:
Photographs may be used for internal records, newsletters, and displays. By consenting, you allow The Tutoring Tree to use your child’s image in:

  • Learning Portfolios
  • Social Media
  • Newsletters
  • Brochures

12. Cancellations & Attendance:

Cancellation Policy:

  • A minimum of 24 hours' notice is required for cancellations. Cancellations with less than 24 hours’ notice will incur a cancellation fee.
  • For emergencies, part of the cancellation fee may be applied to future services at the discretion of The Tutoring Tree.
  • With 24 hours' notice, a make-up session credit will be offered, to be used within the current term (10 weeks). Unused credits will result in a full fee charge.
  • No-shows will be charged in full.

Notice of Cancellation:

  • Cancellations must be communicated via phone or message to Miss Fifi at 0421 559 439.
  • Full payment is due 2 weeks prior to the first session. A late fee of 20% will apply to payments overdue by more than 2 weeks.
  • Students are expected to attend sessions until the end of the term. No refunds for early cancellations.
  • Ensure timely arrival; missed time cannot be made up.

13. Obligations:

Remote Learning:
We may occasionally provide services online. Ensure your child has a suitable device and strong internet connection. We will provide 24 hours’ notice for online sessions or cancellations.

Start Time / Pick-Up Time:
For in-person sessions, drop off your child on time and pick up promptly. For online sessions, ensure your child logs in at the scheduled time. Only authorized persons, as communicated in writing, may pick up your child.

Late Procedure:

  • Late drop-offs or no-shows will not be entitled to a refund or extended session time.
  • If late for pick-up, your child will wait 10 minutes in the reading corner. After 10 minutes, a late fee of $10 per 15 minutes may apply.
  • Contact Miss Fifi in unavoidable situations for possible accommodations.

Illness:

  • Cancel face-to-face sessions with 12 hours' notice if your child is sick. A make-up session will be arranged.
  • If your child is unwell or has a communicable disease, they may need to attend online or might be excluded from in-person sessions. A doctor’s certificate may be required.
  • If contacted to pick up an unwell child, ensure prompt collection. We may cancel the session if your child is deemed unfit to attend.
